What this policy covers
This policy explains what personal information we collect, why we collect it, who can see it, how long we keep it, what your rights are, and how this site uses cookies. It applies in addition to our Terms of Use.
What we collect, and when
We collect only what we need. We do not collect anything beyond the list below without telling you first.
When you fill in a form. Depending on the form, we collect your first and last name, your email address, your telephone number, the address of a property, and anything you choose to write in the message field. The forms on this site are the contact form, the free evaluation form, and the buy, sell, renovate and build request forms.
When you browse. Our server records standard technical information such as the pages requested and the IP address of the request. This is normal web server logging, used for security and for keeping the site working.
Why we use it
We use your information to answer your request, to prepare an evaluation or a proposal, to carry out a brokerage, renovation or construction mandate if you go ahead with one, and to keep a record of our dealings with you as the law requires.
We do not sell your information. We do not use it for advertising.
Consent, and how to withdraw it
We ask for your consent separately and in clear terms at the point where we collect your information, which is why the forms on this site carry their own consent checkbox rather than burying it in this page.
You can withdraw your consent at any time. Contact the person named above and we will stop using your information for the purpose you withdrew, subject to any information we are legally required to keep.
Who sees your information
- Members of the group who need it to answer you or to carry out your mandate.
- Bilal Sayed Ali inc. and Royal LePage Humania Centre, where your request involves a real estate brokerage mandate. Brokerage records are subject to the rules of the Organisme d'autoreglementation du courtage immobilier du Quebec.
- Our website service provider, who maintains the site and monitors the mailbox that receives form submissions so that no request is lost.
- A third party where the law requires it, where it is needed for a legal proceeding, or to establish or protect our legal rights.
- A buyer or prospective buyer of the business, if we ever sell it.
Where your information is kept
The website, its database and the mailbox that receives your form submissions are all hosted in a datacentre located in Quebec.
Two features on this site load content from Google, which means your IP address is transmitted to Google, whose servers are located outside Quebec:
- the typefaces used across the site, which are loaded from Google Fonts
- the map on our contact page, which uses Google Maps
How long we keep it
- Enquiries that do not become a mandate: kept for up to two years from your last contact with us, then destroyed.
- Files connected to a real estate brokerage mandate: kept for the period required by the Real Estate Brokerage Act and the OACIQ.
- Records we are required to keep by tax or other law: kept for the period that law requires.
When a retention period ends, the information is destroyed or anonymised.
How we protect it
The site is served over HTTPS. Access to form submissions is limited to the people listed above. Paper records are kept in a locked facility at our office. Everyone with access is bound by confidentiality.
No system is perfect. We cannot guarantee absolute security, but we take reasonable measures and we keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we will notify you and the Commission d'acces a l'information as the law requires.
Your rights
You can ask us to:
- tell you whether we hold information about you, what it is, how it has been used, and to whom it has been disclosed
- correct anything inaccurate, incomplete or ambiguous
- delete information we no longer have a reason to keep
- withdraw your consent to our use of it
- give you a copy in a structured, commonly used technological format, or send it to another organisation, for the computerised information you gave us yourself
- stop disseminating information about you, or de-index a link attached to your name, where dissemination contravenes the law or causes you serious injury to your reputation or privacy
Write to the person named at the top of this page. We answer within thirty days.
If you are not satisfied with our answer, you can file a complaint with the Commission d'acces a l'information du Quebec, the regulator that oversees this law.
Automated decisions
We do not make decisions about you based exclusively on automated processing. A person reads every request.
Minors
We do not knowingly collect personal information from a minor under 14 years of age without the consent of the person having parental authority, unless collecting it is clearly for the minor's benefit. If you believe a child under 14 has given us information, contact the person named above and we will delete it.
Cookies
A cookie is a small file a website stores on your device.
We use functional cookies only. They keep the site working, remember your language choice between French and English, and protect the forms against abuse. We do not use advertising cookies, we do not use remarketing tags, and we do not track you across other websites.
The map on our contact page is provided by Google and will ask for your agreement before it loads.
You can block or delete cookies in your browser settings. The site will still work, but your language choice will not be remembered.
How we govern personal information
- Who is responsible. Bilal Sayed Ali, named above, is accountable for the protection of personal information across the group. Anyone in the group who handles a client file is responsible for keeping it confidential while it is in their hands.
- Through the lifecycle. Information is collected only through the forms and conversations described in this policy, is stored in our Quebec-hosted database and mailbox, is accessed only by the people listed above, and is destroyed or anonymised at the end of the retention periods set out above.
- Incidents. We keep a register of confidentiality incidents and follow the notification rules described above.
- Complaints. Send a complaint to the person named at the top of this page, by phone, by post, or through the contact form. We acknowledge it, look into it, and give you a written answer within thirty days. If our answer does not satisfy you, you can go to the Commission d'acces a l'information.
Changes to this policy
We may amend this policy to stay compliant with the law or to reflect a change in how we work. When we do, we update the effective date at the top. We recommend you check it from time to time.
